For our Screens Personnel to broadcast images, videos or background music, please send your images, videos, and background music to media@vivecitychapel.org at least 24 hours before your event.
Note: If you plan to not include services from our in-house sound personnel, you acknowledge that your sound technician has prior and proficient knowledge operating the Behringer WING sound mixer. Both you and your sound technician will be fully responsible for any damages to or misuse of our sound system. If using your own sound technician, please provide his/her name, phone number, and email below.

FINAL DECISIONS

All dates and times requested above are not confirmed until APPROVED by Pastoral Team or Facilities Coordinator. ALLOW UP TO ONE WEEK FOR APPROVALS to be received via email.

The parties agree as follows:

1. BOOKING REQUIREMENTS AND CHARGES


  1. Any group with outstanding charges from previous events will not be allowed to use or rent the facilities until such charges are paid in full.

  2. The full amount is due 48 hours before the rental date.

  3. Payments can be made online through Zelle using email address info@vivecitychapel.org or through Cash App $vivecitychapel. Please enter your full name and date of event in the note/memo.

  4. To cancel the contract, a minimum of 48 hours advance notice is required.

  5. A non-refundable cleaning/damage deposit of $150 (one hundred and fifty dollars) is required the week after request is approved and will be used for cleaning services and/or repairs.

  6. The Renter understands that a reservation does not guarantee availability of the Church. Occurrences beyond the control of the Church, such as fire, flood, etc., may render the Church unavailable. If the Church is unavailable on the reserved rental day for any reason, the Church will return any rental fee paid by the Renter, and this will be the entire liability of the Church.

2. TERMS OF USAGE

The following terms apply to the Renter and all persons attending functions:



  1. The Renter acknowledges that they are renting a church and that the Church operates the facilities primarily for use by members of the Church and for others who agree to abide by the terms of this agreement and act in accordance with the lifestyle guidelines consistent with the Church’s religious beliefs. 

  2. The name of the Church shall not be used as an endorsement.

  3. Rental to any group does not mean that the Church endorses the beliefs and practices of the rental group.

  4. Smoking, the consumption of alcohol, and the consumption of non-prescription drugs is prohibited on the Church property.

  5. There is no obligation on the part of the Church to provide medical personnel or medical supplies. If any person attending a rental function has an accident, medical emergency, or requires medical attention of any kind, the Renter will bear full responsibility for such event and its cause and consequences.

  6. The Church is not responsible for any damages to, or loss of property, of the Renter or attendees.

  7. All members of the rental party must stay within the areas designated for the event.

  8. Children must be supervised at all times. No fewer than 2 adults when the nursery is in use.

  9. The kitchen must be left clean and orderly after use. Church supplies are not to be used.

  10. Garbage and trash must be bagged and disposed of in the garbage bin in the parking lot. 

  11. Any relocation of equipment or furniture must be done in consultation with Church personnel. 

  12. Music for parties, receptions, and other social events will be permitted, provided such music is maintained at a reasonable level and does not disturb the peace.

  13. If the Renter breaches the terms of this agreement, the event may be cancelled without notice, even if in progress, without refund of fees.

3. INSURANCE AND LIABILITY

The Church’s insurance covers church-hosted events only. Because we want our guests to be protected in case of accidents or mishaps, we recommend renters to have their own liability insurance. If you choose not to obtain personal insurance, you release the Church from any liability listed in Section 4.


The options you can pursue are:



  • adding a rider to your homeowners insurance policy;

  • using your business' or organization's insurance; or

  • purchasing special event insurance such as PAL (Party & Alcohol Liability Insurance).



Your insurance certificate can be turned in to the Church office or emailed to us via info@vivecitychapel.org at least one week prior to usage.

4. RELEASE AND INDEMNITY AGREEMENT

In consideration of Vive City Chapel permitting the organization or individual(s) to use the property described herein, the Renter agree(s) as follows: Renter does hereby indemnify, hold harmless, release, and discharge Vive City Chapel and its administrators, agents, officers, members, volunteers, and/or employees from any and all liability, claims, demands, losses or damages arising from use of the Church property.

5. ACCEPTANCE OF RESPONSIBILITY

I/We agree to be responsible for the conduct of those attending or participating in the activity(ties) for which this application is being submitted, and for any damage beyond normal wear and tear which may occur as a result of the named activity(ties). I/We will remove all signs and decorations posted by my/our group after the event has ended. I/We further agree that the Church property will be used as described and that I/we will abide by the rules and regulations as stated in the Property Use Agreement.
